WEDDING PHOTOGRAPHY TRAVEL POLICY

Travel Policy

I want your wedding day to be smooth, stress-free, and beautifully documented. To make sure I arrive safely, on time, and fully prepared, here’s how travel works for wedding coverage:

Local Travel

  • Travel within 25 miles of St. Paul, Minnesota is included at no additional cost in all wedding packages.

  • Locations beyond this radius incur a travel fee to cover mileage, time, and logistics.

  • For locations beyond this radius, a travel fee of $0.70 per mile round trip willy apply (The IRS standard mileage rate for 2025 is $0.70 per mile).

  • Parking, tolls, or venue access fees may be added when necessary.

Overnight Stays

  • An overnight stay may be required for weddings that:
    • Start before 9 AM
    • End after 9 PM and are more than 2 hours away from my home base

  • You are more than welcome to book the accommodation, or I can add the hotel cost directly to your invoice and forward you the confirmation/receipts.

Long-Distance & Out-of-State Weddings

  • For weddings requiring extended travel, I’ll provide a custom travel quote. Travel expenses may include:
    • Round-trip airfare or mileage
    • Hotel accommodations
    • Transportation (rental car or rideshare)

Destination Weddings

  • For international or multi-day celebrations, travel planning will be discussed during booking.
    All travel costs must be covered 30 days before departure and will be booked under my legal name.

Payment Timeline for Travel

  • Travel fees are added to your final invoice unless otherwise discussed.

  • For destination weddings, all travel costs must be paid before travel is booked.

Mileage Calculation

  • Home Base: St. Paul

  • Venue Distance: 45 miles one way

  • Round Trip: 90 miles

  • 2025 IRS Mileage Rate: $0.70 per mile

  • Total Mileage Included at no additional cost: 50 miles

  • Client-Responsible Miles: 40 miles

    Client Total Mileage Responsibility: 40 miles × $0.70 = $28.00
